AI has quietly opened a third option. A good vibe coder can now build a tool shaped exactly around how your business works, in days rather than months, for a price that makes sense for a business your size.
Signs you need something custom
You don’t need custom software for the sake of it. You need it when you notice:
- The same information typed in twice, from one system into another, or from paper into a spreadsheet.
- A spreadsheet only one person understands, who is also the person who goes on holiday.
- Customers ringing to ask things a web page could answer: prices, availability, “where’s my order”.
- Three apps doing one job badly, each with its own subscription.
- A process that lives in someone’s head and goes wrong every time they’re off sick.

- A quote calculator that gives an honest price range in thirty seconds, instead of a callback in three days.
- A booking page that understands your real rules: buffer times, deposits, staff who only do certain jobs.
- An order tracker so customers can check progress themselves instead of ringing.
- A menu or price list you can update from your phone in a minute.
- A loyalty or referral tracker that doesn’t need a plastic card or a third-party app.
Running the place
- A staff rota that knows who can work when, who’s trained on what, and who swapped with whom.
- A stock tracker that warns you before you run out, not after.
- A job sheet app for trades: photos, notes, materials used, the customer’s signature, sent straight to the office.
- A daily checklist for opening, closing or cleaning, with a record of who did what.
Seeing what’s going on
- A dashboard that pulls your sales, bookings and costs into one screen you’ll actually look at.
- Automatic reports that land in your inbox every Monday morning without anyone building them.
- A tidy customer list that merges the contacts scattered across your email, phone and booking system.
None of these are moonshots. That’s the point. Each one saves a few hours a week, and a few hours a week adds up to weeks a year.
How to get one built
- Write down the problem, not the solution. “We spend six hours a week answering ‘is my car ready?’ calls” is a better brief than “we need an app”.
- Get a few makers to pitch. Describe the problem and ask makers to pitch with how they’d solve it and what it would cost. Favour the ones who’ve built something similar before. A maker who’s built a booking tool will be faster and better at yours.
- Start small. Build the one feature that saves the most time. Use it for a month. Then decide what’s next.
- Pay in milestones, held in escrow. You only release payment for work you’ve seen and are happy with.

What it’ll cost
